POLICY REGARDING THE CONTROL AND PROCESSING OF PERSONAL DATA FOR VISITORS, SUPPLIERS, AND VENDORS

 

I. PURPOSE

  • To establish policies managing the collection, control, processing, use, storage, and protection of the personal data of visitors, suppliers, and vendors conducting business at HS Hyosung Vietnam Co., Ltd. (the "Company").
  • To ensure security, safety, and compliance with applicable laws on personal data protection.

 

II. APPLICABLE SUBJECTS AND SCOPE

  • This Policy applies to all visitors, suppliers, and vendors entering HS Hyosung Vietnam Co., Ltd. for work-related purposes.
  • Certain special cases (such as government authorities, VIP customers as directed by the Board of Directors, etc.) are exempt from the standard gate registration procedures.

 

III. REQUIRED PERSONAL DATA

When registering to enter HS Hyosung Vietnam Co., Ltd., visitors, suppliers, and vendors may be required to provide the following basic personal data:

  • Full name.
  • Citizen Identification Card (ID), Passport, or other lawful identification document number.
  • Company or organization.
  • Purpose of visit.
  • Telephone number (if required).
  • Email address (if required).
  • Student ID number (if required).
  • Vehicle license plate number or other vehicle information.
  • Entry time and exit time.
  • Responsible host, department, or business unit.

In addition, certain entrances and areas within the Company's premises are monitored by CCTV cameras.

 

IV. PURPOSES OF PROCESSING PERSONAL DATA

Personal data is processed for the following purposes:

  • To complete visitor, supplier, and contractor registration procedures.
  • To verify the identity of visitors, suppliers, and vendors.
  • To ensure the security and safety of personnel, information, and Company assets.
  • To control access to working areas.
  • To support fire prevention and firefighting activities.
  • To prevent, detect, investigate, and handle incidents relating to security, safety, asset loss, information leakage, or violations of Company regulations.
  • To investigate and resolve security incidents (if any).
  • To comply with requests from competent government authorities in accordance with applicable laws.

The Company will not use the personal data of visitors, suppliers, and vendors for advertising, marketing, or commercial purposes without their prior consent.

 

V. SCOPE OF DATA USE

Personal data shall be used solely within the Company. Access to such data is limited to authorized personnel and departments for the purposes stated above.

Personal data will only be shared with third parties under the following circumstances:

  • With the consent of the data subject.
  • Upon request by competent government authorities.
  • As otherwise required by law.

 

VI. DATA RETENTION PERIOD

Personal data shall be retained by HS Hyosung Vietnam Co., Ltd. for the purpose of managing visitor access and in compliance with applicable laws or the Company's internal regulations.

Upon expiration of the retention period or when the data is no longer necessary, it shall be deleted, destroyed, or anonymized in accordance with the Company's data management procedures.

 

VII. RIGHTS OF DATA SUBJECTS

In accordance with applicable laws, visitors, suppliers, and vendors have the following rights regarding their personal data:

  • The right to be informed about the processing of their personal data.
  • The right to request access to their personal data.
  • The right to request correction of inaccurate personal data.
  • The right to request restriction or cessation of data processing in cases permitted by law.
  • The right to lodge complaints, report violations, or claim compensation in accordance with applicable laws.
  • Other rights as provided under the Personal Data Protection Law.
